We've compiled a list of our most frequently asked questions, so keep reading to get your questions answered! General Questions What is your max guest count? The maximum number of guests we can accommodate is 150 people. We do not have a minimum. When do you offer tours/meetings? We can host tours or meetings at your earliest convenience! We mostly meet during the week due to weddings and events hosted on weekends; however, we are always willing to work with your schedule. When is the booking deposit due, and is it refundable? When you wish to secure a date, we can hold a date for 5 days while you review and sign the contract. Within those 5 days, the non-refundable booking deposit is due to officially secure your date. This deposit is non-refundable after booking, but it does go towards your total. How many events do you host on the property at once? We do not host multiple events at the same time. When you book an event with us, you have access to the entire property for the duration of your event. How long are we able to use the bridal suite before the start of the wedding? You can use the bridal suite for the same amount of time as the length of your wedding. If you have a four-hour wedding, you can use the bridal suite for up to four hours prior to the wedding. If you are hosting a five-hour wedding, you will have the bridal suite for five hours prior to the wedding. You may request additional getting-ready time on request for up to 6 hours prior to your ceremony start time. Do you supply anything while we are getting ready in the bridal suite and groom’s room? Please bring your own snacks, towels, speakers, and anything else you wish to have while getting ready. Where is parking? Parking is provided in the front of the house for handicapped occupants ONLY. Parking is provided in the back of the property for all other visitors. Do you have a designated smoking area? The designated area for smoking is the back-parking lot. This is for both smoking AND vaping. Because we have turf in the gardens and our farmhouse is over 100 years old, we do not allow either in the main venue spaces. Do you offer ceremony rehearsals prior to the wedding? We offer a rehearsal at no cost to you. Times and dates are subject to availability and must not conflict with other scheduled events. Vendors Do we need to find our own wedding/event coordinator? You will be provided a day-of coordinator that will help guide you on how to organize your event. If you are holding a wedding, you will meet with your coordinator three times to discuss every detail that plays into your wedding. If you have a smaller event, you will have one meeting with your coordinator. Do you allow outside catering? We do not allow outside catering, and we require that you use Four Oaks’ chef for catering. Our chef has been in the industry for over 30 years and has worked with Four Oaks for more than 10. We do provide food tastings for our couples so you can meet the chef and taste the food prior to your event. Are flowers and/or cake included in our budget? We do not include flowers or cake in our budget. However, we do have wonderful vendors we work with that we would be happy to connect you with. Am I required to use any of your in-house vendors? The only vendors we require you to use are our chef and coordinators. Are there any vendor restrictions? There are no vendor restrictions other than there is no access to the employee-only marked area. Vendors are welcome to arrive as early as the Bride and Groom arrive. Can my DJ connect to your sound system? No, DJs are not allowed to connect to our sound systems. They must provide their own equipment. Food and Beverages Do you allow outside catering? No, we do not allow outside catering (with the exception of dessert). We require that you use our in-house chef for both appetizers and dinner. Is there a food cost minimum? There is no food cost minimum. Do you offer any food tasting prior to the event? We offer multiple tastings a year to give our couples a chance to try a wide variety of menu options and speak personally with our chef. We do not offer private tastings. How much do food tastings cost? A tasting at Four Oaks Manor is $40 per person. You will get to taste 6-7 entrees and 6-7 sides. You will have the chance to meet with our chef and coordinators to go over any questions you might have. Do we take the left-over food home after the event? It is a liability for food to be taken off the property after an event. Therefore, we do not allow left-over food to be taken home by the hosts or guests of any event. Our chef does a good job at preparing just the right amount of food for your guest count, and we keep the buffet open long enough for guests to grab seconds if there is any food remaining. Is there a cake cutting fee? Our coordinators will happily cut your cake for your guests at no additional fee. Do you allow alcohol? Alcohol is allowed at our venue. You provide your own for your event. We maintain and set the bar area for self-serve unless you hire your own bartender. Since you are the providers of the alcohol, you will have to obtain a one-day event liability insurance, so you are covered in case accidents occur. You can either go through one of our preferred vendors for the insurance, or through your own insurance. It is easy to obtain and usually costs around $150. If you are providing liquor at the event, we require the event insurance as well as a bartender. Event Set-up Are your centerpiece decorations an additional fee? All lanterns, gold décor, runners, votives, and LEDs are included in your package at no additional cost. Will your staff take care of the setup and cleanup of the event? Four Oaks Manor’s staff will take care of the complete setup and cleanup of the wedding or event. The only thing we will not take care of is the cleanup of your personal items in the bridal and groom suites. What is your plan if it rains on the event date? In the case of rain, we have tents that cover the entire ceremony and reception area. However, the number of people you have attending will determine how many tents we will need to use. We make the decision on tents 24-72 hours prior to your wedding, depending on weather for the weekend. Please note that 25-30% of our couples need tents each year. Do you include decorations/can we bring our own? Four Oaks has a very wide collection of different decorations that you can use for the ceremony, centerpieces, accent décor, etc. You can also bring in your own décor if you wish to add special touches. Do I need to rent tables settings such as china, silverware, glassware, or tablecloth linens? Four Oaks Manor will provide everything for the wedding as far as tablecloths, plate chargers, china, silverware, linen napkins, water glasses, and wine glasses. If I’m wanting to do assigned seating, how many people should I put per table? Both our round and rectangle tables can fit up to 8 guests. Contract & Booking Am I bound to the price listed in my contract? The contract is based on the estimated price at the time of your booking. The payments listed on the contract can and will change as guest count and food options change. What is a security deposit and why do you require it? A $500 security deposit is to be given at your final meeting with your coordinator. This must be in the form of a check in case damages are to occur. It will be shredded or given back if no damage is done. Can I change my wedding date after I book? If a couple decides to change their wedding date, then we do charge a rebooking fee.
